Overview

Teams by Cognisys ("the app") is a team coordination service provided by Cognisys and run day to day by each team's own organizers. This policy describes what the app stores, why it stores it, and what happens when a family connects Google Calendar.

No parent accounts

Parents can use the core team features — viewing the schedule, claiming a snack date, and subscribing to the team calendar — without creating a traditional account. There are no parent passwords and no social sign-in required to view a team page.

Device and session identifiers

Because there are no accounts, the app may store a random identifier in your browser's local storage so it can remember your interactions with a team on that device (for example, a snack claim you made, or which players you follow). This identifier is not tied to your real-world identity unless you choose to enter a name or contact detail.

Clearing your browser storage removes that identifier from the device. Records already saved for the team, such as a snack assignment, remain with the team until an organizer changes or clears them.

Team data we store

The app stores team schedule information (dates, times, opponents, fields, addresses, and organizer notes) and snack signup information (the family or volunteer name you enter and, if you choose to provide it, an email address or phone number). This information is stored to operate the team hub and is visible to other families of that team and to the team's organizers.

Please only enter information you are comfortable sharing with your team. Do not enter sensitive personal details in free-text fields.

Google Calendar connection

Connecting Google Calendar is optional. If you connect it, the app uses Google OAuth solely to create and manage a dedicated calendar for your team and to synchronize that team's events, arrival times, notes, and snack assignments into it.

The app writes and updates only the events it creates in that app-created team calendar under the least-privilege scope currently configured. It does not read or use your unrelated personal calendar events beyond what is necessary to maintain that app-created calendar.

Google access and refresh tokens are stored server-side and are not exposed to other users of the app. Data obtained through Google APIs is not sold, and Google Calendar access is never used for advertising or for building advertising profiles.

You can disconnect Google Calendar at any time from the calendar options in the app, or by removing the app's access in your Google Account permissions page. Disconnecting stops further syncing; you can then delete the app-created calendar from Google Calendar yourself if you no longer want it.

Data retention and removal

Team schedule and snack data are kept for as long as the team uses the app, and typically through the end of the season. When a Google Calendar connection is disconnected or revoked, the stored tokens for that connection are no longer usable for syncing and are removed or invalidated.

Children's privacy

This is a youth sports app used by parents, guardians, coaches, and organizers — it is not directed to children for independent sign-up, and children are not asked to create accounts.

Public-facing information about children is kept minimal by design: team pages are limited to what a team needs to function, such as a player's first name or jersey number where an organizer has chosen to display it. Organizers should not publish addresses, birth dates, school details, or other sensitive information about a child in the app.

Third-party services

The app runs on hosted infrastructure and uses a managed database provider to store team data, and Google APIs when you choose to connect Google Calendar. These providers process data on the app's behalf in order to run the service.
